CECAS Help

Here is a list of common problems/questions that many CECAS users have.

Q.  You need your password reset.
    A.  Anyone with CECAS access should be able to reset your password by selecting the Administration menu on the left, then             choose Users.  They can look you up, click on the blue link to your name and they will see the Password Reset option.

Q. You need a new CECAS file created for a student's referral.
    A.  Do a statewide search in CECAS to make sure the student does not already have a CECAS file.  If not, contact your school's             EC Facilitator or Data Manager who will set the students EC Data page in PowerSchool to Yes.  That automatically creates a          new file in CECAS. 

Q. You can't close your DEC1 because of a demographic error.
    A.  Go to the Demographics screen and make sure that an LRA (Legally Responsible Adult) has been entered.  If not enter the             primary contact's name on that page and select the primary contact radio button.  If an LRA is listed on the demographics             page, go to the family page and type in an address, phone number, and select "Home Phone" for Primary Contact Type            Your DEC1 should close after saving those changes.

Q. The student's address is blank or other demographic information is incorrect on the demographics page in CECAS.
    A.  Check with your school's Data Manager to make sure that the student's information is correct.  All demographic information            in CECAS comes from PowerSchool.

Q. You closed a form but there is a mistake or you forgot something.
    A.  Your CECAS contact can re-open a DEC4.  All other forms must be re-created and then your CECAS contact can delete the              erroneous forms. 

Q. You closed your DEC3 before you closed DEC5 and now the  student's CECAS file is locked and you want to close your DEC5.
    A.  Your CECAS contact can re-open the students locked file.  When you have closed your 5, go to the special ed page and select           save to close the student's file back down.
    
Q. Your student's CECAS file says "Access Restricted".
    A.  Make sure that the student has been enrolled in PowerSchool, then Contact your facilitator or your CECAS contact for access          to the student's file.

Q. I have a referral on a student who did not qualify for EC services in a previous referral.  Now the student is being referred again     and you can't close your DEC1.
     A.  Go to the student's Special Ed page and look at the files status.  If it says Record Closure for any reason the file needs to be           reset before the students referral. Contact your CECAS contact to reset the student's file.

Q. Can you deselect an item in CECAS?
    A.  Sometimes.  Try holding down the control key and selecting the item again.  This will not work on all of the fields. 

Q. You can not open a comparable service plan for my student.
    A. Make sure that you are using Internet Explorer and make sure that your pop-up blocker has been turned off.  The pop up                form does not work when you are logged into CECAS using Google Chrome or Mozilla.

Q. How do I enter progress notes for my student?
    A.  Select the most recent DEC4 (IEP) from the Forms menu.  In the EC Form Detail Section you should see Goal Progress.  Select          it and a list of the student's goals should be listed.  Select the goal you are reporting progress notes for and then select the          Progress button.

Q. Your Goals Progress Report does not have all of my students progress notes listed.
    A.  Make sure that the Period Begin Date is one year prior (or longer) to the date you are running the report and that the                 Period End Date is the date that you are running the report.  The report captures all goals written for IEPs that begin                     between those dates even if the students goals were written by another school in DPS.
